Check In and Event Day: Attendee Management
Mobile Apps, Ticket Scanning & Manual Check-in
Learn about mobile app check-in, ticket scanning, manual check-in processes, and managing attendees on event day

Attendees can download the free Stubs app from the App Store (iOS) or Google Play (Android). Once installed, they log in with their account and can view all their purchased tickets. Each ticket displays a QR code that serves as their entry pass. Attendees simply show this QR code to event staff for scanning at the venue entrance. The app works offline, so network connectivity isn't required for ticket display.

Organizers have two primary check-in methods:
  1. Mobile app scanning using smartphones or tablets with the Stubs organizer app to scan QR codes
  2. Manual check-in by searching attendee names in the dashboard and marking them as checked in
Both methods update attendance in real-time and prevent duplicate entries.

Download the Stubs organizer app and log in with your organizer account. Select your event and choose 'Check-in Mode.' The app activates your device's camera for QR code scanning. Train your staff to aim the camera at attendee QR codes - successful scans show green confirmation with attendee details. Failed scans display error messages with resolution steps. Multiple devices can scan simultaneously for faster entry processing.

If a QR code won't scan due to screen damage, low brightness, or technical issues, switch to manual check-in. Search for the attendee by name or email in your organizer app or dashboard. Verify their identity and manually mark them as checked in. The system prevents double check-ins, so if they've already entered, you'll see their check-in status and timestamp.

Yes! Your organizer dashboard shows live check-in metrics including total attendees checked in, percentage of ticket holders who have arrived, and check-in timeline throughout the day. You can view detailed lists of who has and hasn't checked in yet, export attendance reports, and track peak arrival times to optimize staffing and entry logistics.

For group tickets purchased together, each individual ticket has its own unique QR code. Group leaders can distribute QR codes to their team, or you can check in the entire group manually using the group check-in feature in your dashboard. Simply search for the primary ticket holder and select 'Check in entire group' to mark all associated tickets as attended simultaneously.

Always have a backup manual check-in process ready. Attendees can provide their name, email, or order confirmation number for verification. Your organizer app includes a search function to quickly locate tickets by attendee information. For frequent issues, consider having a dedicated help station with printed attendee lists as a last resort backup. You can also email tickets to attendees if they need them resent on-site.
